About The Role

This position assists the Accounting Department with accounting and business office projects and tasks.

Essential Duties and Responsibilities

Essential duties and core responsibilities include:

  • Analyze contract content for billing terms and project setup within accounting software.
  • Review project labor and expense charges with PM/PIC for accuracy and appropriateness.
  • Communicate with PM/PIC regarding project contract changes, fee consumption, and project invoicing.
  • Prepare draft invoices for PM/PIC review.
  • Submit finalized invoices with supporting documentation to clients for payment.
  • Review consultant invoices for accuracy and proper authorization.
  • Review and enter consultant invoices into accounting software, including assigning correct general ledger and project codes.
  • Release payments to consultants upon client payment.
  • Research discrepancies within projects including contract inaccuracies, consultant invoice variances, and labor rate variances.
  • Review daily remittances and prepare desktop deposits.
  • Apply daily remittances to corresponding client invoices in the accounts receivable subsidiary ledger.
  • Monitor accounts receivable to ensure timely client payment.
  • Review and enter accounts payable transactions into accounting software.
  • Review and enter staff expense reports into accounting software.
  • Process check runs.
  • Prepare special project analyses for the PM/PIC, as requested.
  • Interact with clients and consultants in a professional, courteous manner.
  • Respond in a timely manner to vendors, consultants, and staff.
  • Maintain a high level of confidentiality and discretion on specific tasks.
  • Perform work in a manner that demonstrates a commitment to quality, innovation, learning, and growth.
  • Contribute to a collaborative environment and an open communication process that shares information and best practices.
  • Participate in firm-wide initiatives and work collaboratively with other team members.
  • Perform other duties as requested.
  • Timely and regular attendance to complete job duties and responsibilities.

Qualifications
  • Associate’s degree in finance, accounting, or related field or commensurate experience is preferred.
  • 1-2 years of accounting experience, preferably in billing and receivables. Experience in an A/E/C environment preferred.
  • Excel proficiency with excellent computer skills.
  • The ability to work with a high level of accuracy and confidentiality.

Physical Demands

This position works in a traditional office setting. This includes computer and desk work for long periods of time.

Work Environment

This position must thrive in a busy setting with frequent interruptions and have the ability to prioritize and problem solve.
